Timeline Tracker module
Timeline Tracker™ is a powerful application that serves as a foundation for managing and monitoring the individual education process for a student. Timeline Tracker™ is a dynamic business process database of information and timelines that support accountability district wide. All aspects, from referral to initiation of delivery of services, are tracked to ensure compliance with legal requirements.
Comprehensive standard reports enable administrators and teachers to effectively manage information in great detail. In addition, Timeline Tracker™ has the ability to seamlessly interface to the district's current Student Information System.
Keeping track of student data for strategic decision-making and compiling information for accountability has become more complex with the advent of the No Child Left Behind Act. ENCORE! ™ simplifies this process.
Forms Tracker module
Forms Tracker™ streamlines data entry with electronic versions of district-specific forms used by special education teams. As data is entered, compliance requirements are automatically verified. Forms Tracker™ is uniquely developed to furnish educators with a district-wide solution that can reduce the paperwork burden by as much as 40%.
Forms Tracker™ redefines integration by interacting seamlessly with Timeline Tracker™, our foundation application that manages and monitors all phases of the individual education process for a student. As a result, time and energy can be refocused on improving learning - spotlighting issues closer to students and educators.
Encounter Tracker module
Encounter Tracker™ is a Web-based data entry solution providing school districts with an intuitive application - documenting the delivery of direct and administrative services. This module, when used in combination with 4GL's Timeline Tracker™, has the capacity to compare prescribed and delivered student services to ensure productivity and service discrepancies.
Encounter Tracker™ can capture all services offered within the district and supports the logging, tracking and documentation of related services. This includes the information necessary to submit claims for Medicaid reimbursement. Encounter Tracker™ allows the district to collect all the necessary data elements to maximize revenue reimbursement.
Encounter Tracker's functionality significantly reduces the risk of under-reporting, which occurs when a district is not informed of services provided. When used in combination with Timeline Tracker™, this solution can also assist in quick identification and resolution of non-delivery issues. Encounter Tracker™ is easy to use and reduces the paperwork burden related to reporting.
Claims Tracker module
Claims Tracker™ is an automated billing application, allowing districts to routinely file claims for reimbursable services. Using data collected through 4GL's Encounter Tracker™ product or the use of 4GL's standard paper format, Claims Tracker™ associates eligibility information with student and service information, ensuring the maximum cost recovery for the district.
Claims Tracker™ provides districts with software for electronic transfer of claims to a State's Medicaid billing agency in the format required by the Health Insurance Portability and Accountability Act. No third-party billing agents or service bureaus are required. Training is required only for the few staff persons who would be responsible for running the application.
Infant & Toddler module
- Tracks services provided to children from birth to age three who have been identified as having some type of developmental problem. Services are also provided to family members (such as teaching them how to care for the child).
- Events tracked include receiving referrals, development of an Individual
Family Services Plan (IFSP), and the Annual Review.
Intervention module
- Tracks services provided to students who have been identified as having academic difficulties prior to being referred to special education.
- Events tracked include receiving a referral, determining services, developing a plan, and monitoring status.
Section 504 module
- Tracks services provided for children who have a handicapping condition (such as diabetes, asthma, ADD, severe overweight) that impacts the quality of their daily life, but that does not qualify as one of the federally defined special education disabilities.
- Events tracked include receiving a referral, developing a plan, and an
Annual Review meeting.
Hearing Officer Determination module
- Tracks the Hearing/Mediation Request process (also know as "formal complaint process" or "due process"), which is requested by a parent or guardian as a result of a perceived failure of the district to provide a service or appropriately carry out a process.
- Events tracked include Request, Settlement Agreement, and Formal Hearing.
Discipline module
- Initiated for a special education child in response to the child's reaching a certain number of cumulative days excluded from school, or to the child's committing an act of a specified level of severity.
- Events tracked include type of incident, action taken, and number of days excluded from school.
- Automatically retrieves discipline records from Zangle for those students identified as "special Ed" or "referred".
- Once in 4GL, allows discipline to be handled according to the unique guidelines and regulations for special Ed and referred students.
- Upon resolution of the discipline issue, the updated record is sent back to Zangle to ensure accurate, up-to-date records in both systems.
